Photography Policy
We work with photographers to obtain pictorial coverage of campus events and to acquire photography for use in the University's publications and web site. There is no staff photographer in the Office of Communications and Public Relations. Photography for major events, publications and the web is outsourced.
We will take/coordinate photography for:
- Recruitment (e.g. Viewbook and departmental brochures - billed to the requesting department)
- Major Events - (e.g. commencement, convocation, groundbreakings)
- Alumni Magazine
- CNU Web site
We will not take/coordinate photography for:
- Student award ceremonies
- Individual department activities
- Department receptions/dinners
- Faculty/staff portraits
Equipment Loans
For requested services that do not fall into the first category, our office has a digital camera to loan for departmental use. Departments requesting use of a camera are responsible for any equipment damaged while on loan and are responsible for their own film and processing costs.

Scheduling a photo shoot/use of equipment
- Requests for the services of a professional photographer should be made three weeks in advance.
When scheduling a photo shoot, please provide the budget parameters and the account number to be billed; the subject matter (number of people, the need for props, etc.); the time, date, and location of the shoot (allowing sufficient time for set-up); an inclement weather site; and how the photos ultimately will be used.
- Requests to use the digital cameras should be made one week in advance. Departments requesting use of cameras are responsible for any equipment damaged while on loan and are responsible for their own film and processing costs.
Archives
We maintain an archive of slides, color photographs and digital pictures. Clients may request duplicates of the images for use in publications or for other needs. Costs of producing duplicates will be billed to the requesting department. You must submit a Material Request Form indicating requestor information, material requested, purpose/use of material. Please allow 48 hours for approval decision. See contact information below.
Release
As a general rule, it is not necessary for CNU to obtain a release for photographs in a public venue or public event. This includes all public spaces across campus from exterior walkways, entryways, atriums, sports fields and classrooms.
If, however, an individual is photographed while in a public space and is recognizable in the photograph, a Photography Consent and Release Form should be obtained if the photograph will be distributed or published to organizations outside the University or posted on the Internet. It is important to obtain a Photography Consent and Release Form for any photograph that will become the centerpiece of a marketing or advertising initiative.
Please note that the University’s policy is to restrict the use of any photograph to the representation, marketing or promotion of University activities only. The University can deny any request to use a photograph.
